Who is responsible for processing your data?

RWS is the implementing organisation of the Ministry of Infrastructure and Water Management (IenW). The minister of IenW is responsible for the processing of your personal data.

The ministry of IenW has a Data Protection Officer (DPO). The DPO can be reached on the following email address: fg@minienm.nl. The Ministry of Infrastructure and Water Management is based at Rijnstraat 8, 2515 XP, The Hague. The postal address is: P.O. Box 20906, 2500 EX, The Hague.

Our basic principles for the processing of personal data are as follows:

Reaction via webform or email

- What personal data?

When you send a reaction via a webform or email to Helpdesk Water, we always process your email address, name and request or reaction. With some forms, we ask you for additional personal data, namely your telephone number and/or organisation.

- For what purpose do we process your personal data?

We ask for your personal data in order to be able to respond to your request or reaction and to process your reaction in accordance with our request handling process. Sometimes Helpdesk Water must be able to assess whether it is allowed to provide the information you have requested. In such cases, you are also asked to give your telephone number and organisation.

- Basis

The basis for the processing of these personal data is the performance of a task carried out in the public interest, namely the provision of information on the public tasks of Helpdesk Water.

- Recipients of personal data

Your personal data are only provided to the employees of RWS or expert companies responding to your request on behalf of RWS. If your question belongs to the field of another ministry or provincial authority, we request you to contact them yourself.

- Retention period

We do not keep your personal data longer than necessary for the purpose of the data processing and we observe the provisions of the GDPR and Archive Law.

Question by telephone

Questions that are put to Helpdesk Water by telephone are processed by Informatiepunt WVL of RWS. In this case, the Privacy Statement of RWS is applicable.

Survey/Event Registration

- What personal data?

If you want to participate in a survey or register for an event, we always process your email address, name and the fact of your participation in the survey or event. In some cases, you will also be asked for your organisation and/or telephone number.

- For what purpose do we process your personal data?

We request your personal data for the organisation of events. We need these to ensure the proper organisation of the event and to communicate with you about the registration for the event. With surveys, more or less personal data are requested, depending on the type of survey. More details are provided with the survey itself.

- Basis

The basis for processing these personal data is the performance of the contract, namely the registration for the event or participation in the survey at your request.

- Recipients of the personal data

Your personal data are only provided to employees of RWS or shared with organisations that process your personal data on behalf of RWS as part of the organisation of the event or survey.

- Retention period

The retention period for data provided to us for events or surveys is 6 months.

Newsletter

- What personal data?

You can sign up to receive a digital newsletter on the helpdeskwater.nl website. We request you to fill in your email address for this purpose.

- For what purpose do we process your personal data?

We ask for your email address in order to be able to email the digital newsletter to you.

- Basis

The basis for the processing of these personal data is consent. You have the right to withdraw your consent at all times. In this case we will stop processing your personal data and sending you the newsletter. You can subscribe and unsubscribe on the helpdeskwater.nl website whenever you want.

- Recipients of the personal data

Only RWS employees who are involved in the helpdeskwater.nl website have access to your personal data.

- Retention period

As long as the newsletter is published, you can subscribe and unsubscribe via the helpdeskwater.nl website. We keep your personal data for as long as you are subscribed to the newsletter. If the newsletters are discontinued, we will keep your personal data for a maximum of 6 months after sending the last newsletter.

Restricted part of the helpdeskwater.nl website

- What personal data?

Your name and email address are stored within the content management system (CMS). If you wish to make use of the restricted part of the helpdeskwater.nl website, we will create a user name and password for you. Within the restricted part, it is possible to share documents (e.g. agendas and meeting documents) that may contain other personal data such as job title and expertise.

- For what purpose do we process your personal data?

We register your email address so that we can provide you with a user name and password for accessing the restricted part of the website. The purpose of the personal data in documents such as agendas and other meeting documents is to facilitate collaborative working.

- Basis

The basis for processing the personal data that are required to grant access to the restricted part of the website is your consent.

In addition, we process personal data in documents in order to pursue our legitimate interest in facilitating collaborative working and the exchange of documents.

- Recipients of the personal data

Only RWS employees who are involved in the helpdeskwater.nl website have access to your personal data.

- Retention period

We do not keep your personal data longer than necessary for the purpose of the data processing and we observe the provisions of the GDPR and Archive Law.

CMS Website

The (CMS) IPROX content management system of Infoprojects is used to manage the content of the helpdeskwater.nl website. Employees of Infoprojects provide support in the event of technical problems and treat your personal data confidentially.

References to other websites (hyperlinks)/email addresses outside RWS

The helpdeskwater.nl website can lead you, via links, to third-party pages outside RWS. Helpdesk Water (the minister of IenW) is not responsible for the processing of personal data on these linked websites. These external parties each apply their own privacy conditions. We advise you to read these conditions.

Your rights

You have the right to withdraw your consent, the right to access, rectify or delete your personal data, the right to object against or restrict the processing of your personal data and the right to data portability.

You can submit your request by sending an email to 08008002@rws.nl with:

• your name
• description of your request
• copy of a valid ID. Please make your BSN (national identification) number and passport photo unidentifiable on the copy of your ID. We do not need these data. With the KopieID app, you can make a photo of your ID on which your BSN number and passport photo are unidentifiable.
